What Xero does

Xero is a cloud-based accounting platform built for small businesses. It covers the day-to-day financial tasks most owners deal with regularly: sending invoices, tracking bills, reconciling bank transactions, managing expenses, and viewing cash flow reports — all in one place without paper records.

A built-in AI feature called JAX (Just Ask Xero) works alongside you while you're in the platform. It can answer questions about your financial data, surface insights from your books, and access real-time public information to help you make sense of your numbers without digging through reports manually.

Xero connects with a handful of solutions that extend what it does out of the box. Hubdoc pulls bills and receipts into Xero automatically. Gusto handles payroll. Syft Analytics adds deeper reporting and benchmarking. Implementation is typically straightforward, with onboarding support available during the first 90 days.

Key capabilities

Invoicing and Bill Tracking

Send quotes and invoices, accept online payments, and manage incoming bills. The Growing and Established plans automate bill entry and remove manual invoice limits.

Bank Reconciliation

Connect your bank account and reconcile transactions directly in Xero. The Growing and Established plans include auto-reconciliation, currently in beta.

Cash Flow Forecasting

Each plan includes a cash flow forecast window — 30 days on Early, 60 on Growing, and 180 days on Established — so you can see what's coming before it arrives.

AI-Assisted Financial Queries

JAX lets you ask questions about your business finances and get plain-language answers. It can also draw on real-time public information to give context to what your numbers mean.

Automated Document Capture

Hubdoc integration pulls receipts and bills into Xero automatically, reducing manual data entry for record-keeping.

Reporting and Performance Dashboards

All plans include real-time reports. Growing and Established plans add customizable dashboards, financial health scorecards, and — on Established — KPI analysis and industry benchmarking.

Best for

  • Small business owners who want one place to handle invoicing, bills, bank reconciliation, and basic reporting
  • Businesses that deal with a steady volume of bills and receipts and want to reduce manual data entry through automation
  • Owners who want to ask plain-English questions about their finances without building custom reports
  • Teams working with an accountant or bookkeeper, since Xero has a large partner network and solutions built for that workflow
  • Businesses that need sales tax tracking, W-9 and 1099 management, or free domestic ACH bill payments included in their plan

Worth knowing

  • The Early plan limits you to 20 invoices and 5 bills per month — if your volume is higher, you'll need to move to Growing ($59/mo after the promo period) right away
  • Auto-reconciliation is listed as beta on higher-tier plans, so it may not yet be fully reliable for every bank connection
  • Payroll is handled through a Gusto integration rather than natively, which means a separate subscription and setup if you need it
  • If your business is larger, has complex inventory needs, or requires multi-entity accounting, Xero's small-business focus may not be the right fit — other platforms are built for that scale
  • Promotional pricing drops significantly after the first three months; budget for the full plan cost ($27, $59, or $97/mo) when comparing total cost of ownership
