Watch: how ClickUp works

What ClickUp does

ClickUp is a project-management platform that consolidates tasks, documents, chat, calendars, time tracking, and goal-setting in a single workspace. The idea is to reduce the number of separate tools a team juggles day-to-day, keeping work and context in one place rather than scattered across apps.

Built into the platform is ClickUp Brain, an AI layer that draws on the models you already know — GPT, Claude, Gemini, and others — and routes each request to whichever fits best. It can answer questions about your projects, take meeting notes, draft content, search across connected apps like Slack, Google Drive, GitHub, and HubSpot, and surface relevant context before you even ask for it. Over time it learns how your team works and adjusts accordingly.

Automated agents handle repeating operational tasks — things like standardising project kick-offs, triaging incoming bugs, tracking deliverables, or collecting employee sentiment — so your people spend less time on coordination overhead. Because everything runs inside the same workspace, the AI has real context about what is actually happening rather than working from disconnected data.

Key capabilities

Unified project workspace

Tasks, docs, sprints, Kanban boards, Gantt charts, and dashboards all live together, so teams can manage work without switching between multiple tools.

AI that knows your work

ClickUp Brain connects to your tasks, documents, and conversations, letting you ask questions and get answers grounded in what is actually happening in your projects right now.

Automated workflow agents

Pre-built agents handle routine operations — from project kick-off intake and task assignment to status updates and onboarding tracking — running continuously without manual prompting.

Cross-app search and answers

Brain pulls information from connected tools including Slack, Google Drive, GitHub, Zoom, and HubSpot, so you get answers without hunting across platforms.

Meeting notes and writing assistance

The AI notetaker captures and summarises meetings automatically, and a built-in writing assistant can draft copy, briefs, or updates directly inside the workspace.

Automations and time tracking

Built-in automations reduce manual hand-offs between steps, while integrated time tracking gives managers visibility into where effort is actually going.

Best for

  • Teams that currently use several separate tools for project management, chat, and documents and want to consolidate without losing functionality
  • Operations, marketing, product, and HR teams that have repeating workflows they want to automate without writing code
  • Small to mid-sized businesses that need an AI assistant with genuine context about their actual projects rather than a generic chatbot
  • Businesses that already use Slack, Google Drive, GitHub, Zoom, or HubSpot and want those tools connected inside one workspace
  • Organizations looking to get started quickly — most teams can be up and running within a week, and the learning curve is manageable for non-technical staff

Worth knowing

  • Pricing is per user, starting at $7 per user per month on the Unlimited plan and $12 on Business (billed annually), so costs scale directly with headcount — worth modelling out before committing for a larger team
  • The free tier exists but meaningful AI and automation features sit behind the paid plans; budget accordingly if those capabilities are central to your use case
  • ClickUp is a broad platform with a large feature set — teams that only need lightweight task tracking may find the full workspace more than they need and struggle with adoption
  • Getting full value from the AI features depends on the team actually using ClickUp as its primary workspace; if people keep working in other tools, Brain's context advantage largely disappears
  • If your workflows are heavily specialised — for example, dedicated software development tooling or deep CRM functionality — a purpose-built point solution may serve those specific needs better than a general workspace

How ClickUp compares

Work-management platforms overlap heavily. What differs is what the workspace is built around — tasks, boards, a database or documents — and how per-seat pricing and AI add up. ClickUp's case is breadth: one workspace that retires several apps.

vs Monday.com

Monday.com is built around visual boards and dashboards for projects, CRM pipelines and operations, with AI agents you can simulate before they run; it costs $12–$19 per seat with a three-seat minimum. ClickUp starts at $7 per user and puts tasks, docs, chat and time tracking together. Choose Monday.com for board-first operations teams; ClickUp to consolidate apps at a lower seat price.

vs Airtable

Airtable is a relational database and no-code app builder, at $20–$45 per seat: you structure records in linked tables and build interfaces and automations on top. ClickUp is a project workspace first. Pick Airtable when the problem is structured data; ClickUp when it is tasks, deadlines and team coordination.

vs Notion AI

Notion AI adds writing, workspace Q&A, meeting notes and agents to Notion, with full AI on Business at $20 per member, and is strongest where docs and the knowledge base already live in Notion. ClickUp covers similar AI ground but centres on tasks and sprints. Teams already on Notion should look there first; task-heavy teams at ClickUp.

vs Taskade

Taskade combines tasks, mind maps and AI agents and prices by team — free, or $10 a month (annual) for up to ten users. ClickUp is priced per user but adds sprints, Gantt charts, dashboards and time tracking. A small team on a tight budget may find Taskade enough; a team carrying real project load will want ClickUp's toolset.
