What Motion does

Motion combines task management, project management, calendar scheduling, meeting notes, and document creation into one workspace. Instead of manually arranging your to-do list each morning, Motion reads your tasks, deadlines, priorities, and dependencies and time-blocks them on your calendar for you. It re-optimises that plan throughout the day as things change.

On the project side, you describe what you need to deliver and Motion generates the full task breakdown — including assignees and deadlines — without you building it manually. It tracks progress, flags delays before they become problems, and can turn a standard operating procedure document into a repeatable workflow template. Meeting notes are captured automatically and action items flow directly into the task planner.

Motion connects with solutions many small teams already use: Gmail, Outlook, Google Meet, Zoom, Slack, HubSpot, Salesforce, and Zapier. Implementation is typically one to two weeks, and pricing starts at $19 per seat per month on an annual plan.

Key capabilities

Automatic daily scheduling

Motion time-blocks your tasks onto your calendar based on priority, deadlines, and available time, and adjusts the plan automatically whenever something changes.

AI project generation

Describe a project and Motion builds the full task list with deadlines and assignees. It then monitors progress and reassigns next steps without manual chasing.

Repeatable workflow builder

You can turn an existing SOP document into a step-by-step workflow template, then launch it as a new project whenever that process needs to run again.

Meeting notes and action items

Motion records meetings, produces summaries, and converts action items into tasks assigned to the right people — connected to the relevant project.

Docs with task extraction

Notes and brainstorms written inside Motion can be converted into tasks and projects by the AI, so nothing written down gets lost or forgotten.

Capacity and deadline visibility

Motion predicts when projects will finish based on team capacity and flags at-risk deadlines in advance, giving managers early warning before a deadline is missed.

Best for

  • Small teams or solo operators who spend significant time each day deciding what to work on and re-arranging schedules when plans shift.
  • Service businesses — agencies, consultancies, law firms, IT providers — that run multiple client projects simultaneously and need to track deadlines across all of them.
  • Founders or executives who want a single place for tasks, calendar, meeting notes, and project status rather than switching between several disconnected solutions.
  • Teams with repeatable delivery processes (onboarding, client kickoffs, recurring campaigns) that would benefit from turning those processes into reusable workflow templates.
  • Individuals who find conventional to-do lists result in missed deadlines or constant manual re-prioritisation.

Worth knowing

  • Cost scales per seat: a five-person team on the annual Pro AI plan runs $95 per month. Evaluate whether the time savings justify that spend before committing.
  • Motion is an all-in-one platform. If your team is already invested in separate, deeply configured solutions for project management and calendar, consolidating into Motion requires a deliberate migration effort.
  • The AI scheduling approach works best when most of your work is captured inside Motion. Teams that keep tasks scattered across email, spreadsheets, and chat may not see full value without changing how they log work.
  • At one to two weeks for implementation, the setup window is short, but teams need to invest time upfront to define task priorities, project structures, and workflows accurately so the AI has good inputs to work from.
  • If your needs are narrowly focused — for example, only a meeting recorder or only a project tracker — a single-purpose solution may be a better fit and lower cost than an integrated platform.
