Watch: how Dext works
What Dext does
Dext is a bookkeeping automation solution that reads receipts, invoices, and bank statements — submitted via mobile app, email, or direct upload — and extracts key data without manual entry. It categorises each document against the supplier rules you set, then pushes the results to your accounting software. The practical effect is that your books stay current without someone sitting down to type figures in.
Once a document is processed, Dext keeps the original in a searchable archive for as long as your subscription is active, and Vault, its document storage, keeps documents audit-ready for 7 to 10 years, according to the vendor. Team members can submit their own expenses, including mileage, and managers can review and approve them inside the same platform. Everything carries a digital record from capture to accounting software, which reduces the back-and-forth with your bookkeeper or accountant.
Dext connects to QuickBooks, Xero, Sage, and FreeAgent, and the vendor states it links to over 11,500 banks and financial institutions. Most teams are up and running in under a week, and a 14-day free trial is available without a credit card, so you can test it against your own documents before committing to a plan.
Key capabilities
AI-Powered Document Capture
Submit receipts, invoices, and statements by phone camera, email forwarding, WhatsApp, or file upload. Dext reads the supplier, date, amount and tax at over 99% accuracy, according to the vendor. Line-by-line extraction is a credit: 5 documents a month are included, then from $20.50 a month or $0.50 a document.
Automatic Categorisation
Supplier rules, included on every plan, categorise each document the way you set them before it reaches your accounting software. Dext AI Assist, a separate add-on, can take on more of the categorisation.
Accounting Software Sync
Processed data publishes directly to QuickBooks, Xero, Sage, or FreeAgent, keeping your accounting records up to date without duplicate data entry.
Team Expense Management
Employees can submit and track their own expenses, including mileage, through the mobile app. Managers can approve submissions, and every expense carries a digital audit trail.
Searchable Document Archive
Processed documents stay in a searchable archive while your subscription is active; Dext recommends exporting your data before you cancel. Vault, Dext's document storage, keeps documents audit-ready for 7 to 10 years, according to the vendor.
Multi-User Collaboration
Multiple team members and your external accountant or bookkeeper can access the same account with controlled permission levels, reducing email chains and document handoffs.
Best for
- Small businesses spending significant time on manual data entry for receipts and invoices
- Teams with multiple employees submitting expenses who need a structured approval process
- Business owners already using QuickBooks, Xero, Sage, or FreeAgent and wanting tighter integration
- Companies in sectors like construction, hospitality, retail, or professional services that handle high document volumes
- Businesses working with an external accountant or bookkeeper who needs timely, accurate financial data
Worth knowing
- The Business plan is $25.21/mo billed annually ($31.50 billed monthly) for 5 users and 250 documents a month. Each extra user adds 50 documents a month; users and documents rise together, and 5 users is the minimum
- Bookkeeper and accountant practice plans require a minimum of 10 clients at $17.70 per client per month, so it may not suit sole practitioners with a small client base
- Dext supports multi-entity setups; above 5 business entities, pricing is custom, so you will need a direct conversation with Dext to understand total cost
- The solution is built around document capture and categorisation; it is not a full accounting or invoicing platform, so it works alongside rather than replacing your accounting software
- If your business generates very few financial documents each month, the automation benefits may not justify the ongoing subscription cost compared to simpler manual processes
How Dext compares
Document-capture solutions all read receipts and invoices. They differ in who they are built for — small businesses and their bookkeepers, developers, or accounts-payable teams — and in how they charge: per plan, per credit or per document.
vs AutoEntry
AutoEntry is Sage-owned capture that extracts line items from receipts, bills and statements into Sage, QuickBooks, Xero or FreeAgent, priced by credits from $13 a month for 50. Dext prices by plan — $25.21 a month billed annually for 250 documents and five users — and adds staff expense submission with approvals. Low or irregular volume suits AutoEntry's credits; a steady flow with staff expenses suits Dext.
vs Veryfi
Veryfi is a capture API: free up to 100 documents a month, then pay-as-you-go at $0.08 a receipt and $0.16 an invoice with a $500 monthly minimum. It is for building capture into your own system. Dext is a ready-made app for businesses and bookkeepers. Choose Veryfi if you have developers and your own workflow; Dext if you want it working this week.
vs Expensify
Expensify is expense tracking with SmartScan receipt capture, free for individuals and from $5 per member a month for companies. Dext also captures supplier invoices and bank statements, publishes them to your accounting software and keeps originals in a searchable archive while you subscribe. Pick Expensify when staff expenses are the job; Dext for keeping the books fed.
vs Nanonets
Nanonets is an AI accounts-payable agent that reads invoices and purchase orders and validates line items for touchless AP, pay-as-you-go from about $100 a month. It suits finance teams automating supplier invoice processing. Dext also covers receipts, staff expenses and bank statements, packaged for small businesses and their bookkeepers.
