What Zoho Books does
Zoho Books handles the core accounting work a small business runs on every day: sending quotes and invoices, tracking bills and purchase orders, managing expenses, reconciling bank transactions, and generating financial reports. Everything lives in the cloud, so you can access it from a browser, an iOS or Android app, or a Windows desktop app.
The software includes an AI assistant called Zia that lets you ask plain-English questions about your financial data, flags unusual activity in your books, and can automate collections follow-ups. On the expense side, Zia can scan receipts and sort them into categories automatically, reducing manual data entry.
Zoho Books connects to payment processors, e-commerce platforms, and other business solutions — including Stripe, PayPal, Square, Shopify, Zoho CRM, and Gusto — so transactions can flow in without re-keying. It also covers inventory tracking, project budgeting, and client billing, making it broader than a basic invoicing solution.
Key capabilities
Plain-English AI Queries
The built-in Zia AI lets you ask questions about your books in ordinary language rather than running manual reports. It can also flag anomalies and help automate overdue payment follow-ups.
Receipt Scanning and Expense Categorization
Zia can scan receipts and automatically sort them into expense categories, cutting down on manual entry for routine purchases.
Invoicing and Receivables
You can create and send professional invoices and quotes, set up multiple payment methods, add online payment links, and automate payment reminders to speed up collections.
Bank Reconciliation and Payables
Zoho Books matches bank transactions to your records and keeps track of bills and recurring expenses, giving you a current view of what you owe and what you've been paid.
Project and Inventory Tracking
You can set project budgets, allocate tasks, and bill clients based on actual time and expenses. Inventory stock levels update as you buy and sell, with optional reorder alerts.
Workflow and Task Automation
Repetitive tasks — including recurring invoices, expense entries, email alerts, and report delivery — can be automated through configurable workflows.
Best for
- Small businesses that want accounting, invoicing, expenses, and basic inventory in one place rather than stitching together separate solutions.
- Very small or micro businesses under $50,000 in annual revenue that need a no-cost starting point with room to grow into paid plans.
- Owners who want to ask casual questions about their finances — cash flow, outstanding invoices, expense trends — without pulling reports manually.
- Teams already using Zoho CRM, or businesses that process payments through Stripe, PayPal, Square, or sell through Shopify.
- Businesses that spend significant time on manual data entry for receipts and expenses and want to reduce that through automated scanning and categorization.
Worth knowing
- The free plan is only available for businesses with annual revenue under $50,000; once you exceed that threshold you'll need a paid plan starting at $15 per month billed annually ($20 monthly).
- Implementation is estimated at one to two weeks — straightforward for most small businesses, but you'll still need to plan time for migrating historical data and connecting integrations.
- If your business needs are primarily outside accounting — for example, CRM, HR, or project management without a finance component — Zoho Books alone won't cover those areas, though it does connect to solutions that do.
- Businesses with highly complex accounting needs, multiple entities, or advanced business intelligence requirements may find the Standard or Professional plans limiting and need to evaluate the higher-tier plans or a different product.
- Because Zoho Books is part of the broader Zoho ecosystem, the deepest integrations are with other Zoho products; if your existing stack is built around non-Zoho solutions, verify that the specific integrations you need are supported before committing.
How Zoho Books compares
Small-business accounting solutions all handle invoices and reconciliation. The differences are price, which ecosystem they connect to, and how much inventory and project work they cover. Zoho Books is the low-cost option with inventory and projects built in.
vs QuickBooks
QuickBooks is small-business accounting with Intuit Assist for categorisation, invoicing and cash-flow insights, at standard prices from $38 to $340 a month. Zoho Books covers similar ground from $15, with a free plan under $50,000 revenue. Choose QuickBooks if your bookkeeper or stack already runs on it; Zoho Books if cost matters or you use Zoho CRM.
vs Xero
Xero is cloud accounting with the Just Ask Xero AI assistant, with plans from $27 to $97 a month. Both include an AI assistant for your books. Zoho Books connects most deeply to Zoho products and includes inventory and projects; Xero connects to Hubdoc, Gusto and Syft Analytics. Choose by the ecosystem around you.
vs FreshBooks

Zoho Books adds inventory tracking and project billing, plus a free plan under $50,000 revenue. Freelancers should compare FreshBooks; businesses holding stock, Zoho Books.
vs Wave

Zoho Books adds inventory, projects, purchase orders and workflow automation. If you only need to invoice and keep simple books, Wave; if you are outgrowing that, Zoho Books.
