What Ottimate does

Ottimate handles the full accounts-payable cycle without manual intervention. It scans invoices in multiple formats, reads header, footer, and line-item detail at what the vendor reports as 98% accuracy, and maps each line to the correct general-ledger code automatically. The result is less time spent on data entry and fewer coding errors reaching your books.

Once invoices are coded, Ottimate routes them through configurable approval workflows and checks them against purchase orders, receipts, and cost files to catch price or quantity mismatches before payment goes out. It also monitors spending patterns over time and flags invoices that look anomalous — duplicates, potential fraud, or amounts outside your normal range — giving your team a chance to review before money leaves the account.

Payment runs through the same platform. Ottimate pays vendors directly via ACH, virtual card (vCard), or check, and shows you exactly when funds will be withdrawn. It connects via API to QuickBooks, Sage Intacct, Acumatica, and NetSuite, so transaction data flows into your existing accounting system rather than sitting in a separate silo.

Key capabilities

Line-item invoice capture

Ottimate scans invoices from multiple formats — including handwritten documents — and extracts line-item detail at a reported 98% accuracy rate before coding each line to your GL.

Automated GL coding

The AI assigns GL codes to captured line items automatically, adapting over time as it learns your chart of accounts and coding patterns.

PO and receipt matching

Ottimate compares invoice prices and quantities against purchase orders, receipts, and cost files, then flags discrepancies for your team to review before payment is released.

Fraud and anomaly detection

The platform monitors your spending patterns continuously and surfaces invoices that fall outside normal ranges — including suspected duplicates — to help prevent overpayment and fraud.

Approval workflow routing

Invoices move through configurable approval steps automatically, with the information approvers need to make a decision visible in the workflow itself.

Integrated vendor payments

Ottimate pays vendors directly from the platform via ACH, virtual card, or check, with real-time visibility into when funds will leave your account.

Best for

  • Finance teams processing a high volume of invoices who want to reduce manual data entry and GL coding work
  • Organizations in hospitality, restaurants, retail, healthcare, or accounting that deal with invoices from many vendors across multiple formats
  • Controllers and AP managers who need a documented, auditable approval trail and tighter controls over who authorizes payments
  • Businesses already on QuickBooks, Sage Intacct, Acumatica, or NetSuite looking for an AP layer that connects to their existing system
  • CFOs or finance leads who want early warning on overpayments, duplicate invoices, or unusual spending before funds go out

Worth knowing

  • Pricing is not published — you will need to request a custom quote, which makes upfront budget comparisons harder without a sales conversation
  • Implementation is estimated at two to four weeks, so plan for a short but real onboarding period before your team is fully up and running
  • The platform is built around accounts payable specifically; if your need extends well beyond AP — such as full procure-to-pay or broad ERP replacement — you may need to evaluate whether Ottimate covers enough of your workflow
  • Native integrations are listed for QuickBooks, Sage Intacct, Acumatica, and NetSuite; if your accounting system is not on that list, confirm compatibility before committing
  • Expect some change-management effort: any change to your payment and approval processes carries meaningful operational stakes — adequate staff training and a clear rollout plan matter here
