What Fyle does

Fyle — now branded Sage Expense Management — is an expense management platform built around one idea: employees shouldn't have to log into anything to submit a receipt. When a corporate card is swiped, the cardholder gets a text message. They reply with a photo of the receipt, and the software extracts the merchant, date, amount, and category automatically using OCR. That data is then matched to the card transaction in real time.

On the finance side, approved expenses sync directly to your accounting system — QuickBooks Online, QuickBooks Desktop, NetSuite, Xero, Sage Intacct, Sage 300 CRE, or Sage 50 — without manual export or re-entry. The platform supports expense approvals with configurable routing, budget tracking, and real-time spend reporting, so finance teams can see what's being spent before the month ends rather than after.

Implementation is estimated at two to four weeks. Support is available 24/7 via live chat and email, with a stated first-response target of under 30 minutes for Business plan users. The solution works with existing Visa, Mastercard, and American Express corporate cards, so there's no requirement to switch card providers or issue new cards.

Key capabilities

Text-based receipt submission

Cardholders receive an instant text when their card is used and reply with a receipt photo. OCR pulls out key fields automatically, removing the need for manual data entry.

Real-time card reconciliation

Transactions flow into the platform as they happen, and the AI matches receipts to the corresponding card charges. This replaces delayed bank-feed uploads and manual matching.

Accounting system sync

Approved expenses post directly to QuickBooks, NetSuite, Xero, or Sage products in a two-way sync, carrying over chart of accounts, vendors, and project codes employees used during coding.

Configurable approval workflows

Businesses can set up multi-level, department-based, or project-based approval routes. Approvals feed automatically into the accounting handoff once complete.

Budget and spend reporting

Finance teams can configure budgets, track spending against them in real time, and monitor policy compliance without running manual reviews.

ACH employee reimbursements

For out-of-pocket expenses, the platform supports direct ACH reimbursements to employees in the US, with the ability to pay multiple people in a single action.

Best for

  • Finance teams spending significant time chasing receipts from employees who use corporate cards
  • Businesses already running QuickBooks, NetSuite, Xero, or a Sage accounting product and wanting expense data to sync automatically
  • Organizations with field staff — construction, healthcare, nonprofits — who need a submission method that doesn't require sitting at a desk or learning a new app
  • Companies wanting visibility into employee spend as it happens rather than at month-end reconciliation
  • Teams with at least 5 users (Growth plan) looking for a straightforward, low-risk implementation in under a month

Worth knowing

  • Pricing is per active user per month, billed annually, with a 5-user minimum on the Growth plan and a 10-user minimum on Business — not a good fit if your team is very small or if usage is highly irregular across months.
  • ACH reimbursements are currently available for US-based businesses only; international teams handling employee reimbursements through this route would need an alternative approach.
  • The text-message workflow works well for corporate card spend, but the fit is weaker if your business relies heavily on employee out-of-pocket expenses paid with personal cards, since the real-time card-feed feature depends on business card connections.
  • If your accounting system is not one of the seven listed integrations, you would need to evaluate whether manual export or a middleware connection is acceptable — native two-way sync is the platform's core value, and that value diminishes without a supported integration.
  • Enterprise pricing and terms require a direct conversation with the vendor and apply only at 250 or more employees; mid-market businesses below that threshold are priced on the standard tiers.
